Entry Level Administrative Assistant/Detail Clerk – Strong Organizational Skills Needed

Currently, Chubb is seeking a Detail Clerk/Entry-Level Administrative Assistant for the Whitehouse Station, NJ office.
Position Description:
This full-time position will provide administrative and detail clerk support to the Accident & Health North American leadership team, and the Home Office practice staff as needed.
Responsibilities include: responding to group mailboxes, policy submission set-up, ERISA reporting, mail and photocopy handling, data entry, data quality review and correction, order supplies, manage assignments in CUW, updating department voice-mail greetings and retrieving messages daily, managing internal and external correspondence; researching and resolving daily issues; coordinating travel arrangements and client visits; providing pertinent information for appointments and scheduling; coordinating training, meetings and teleconferences; creating and delivering monthly production reports; handling move requests, new hire set-ups, and developing presentations and spreadsheets. Responsibilities also include utilizing various MIS systems to update results, agency results and profit sharing information. Ability to manage daily responsibilities and special projects as assigned. Multi-tasking capabilities are a must. Full knowledge of the GFS Expense System is desired in order to process monthly travel & entertainment expenses. Minimal travel is required.
Competencies/Tech Skills:
• Demonstrated excellence in written and verbal communication.
• Excellent time management and organizational skills.
• Demonstrated high efficiency in MS Word, Excel, PowerPoint.
• Desirable if skills include Chubb specific knowledge and systems (including but not limited to GFS expense system, Producer Management System and MIS).
• Ability to work independently and in a team environment.
• Self-motivated, able to manage multiple tasks, projects and deadlines while meeting or exceeding service goals.
• Superior follow-up skills. Strong sense of urgency and ability to anticipate and manage issues.
• Able to take initiative and demonstrate confidence in decision-making and judgment abilities.
• Problem solving, strong customer service orientation and excellent telephone skills.
