Full-time Agency Services Coordinator – Strong Customer Service & Multi-tasking Skills Required

at CHUBB Insurance in New Jersey

The Agency Services Coordinator is responsible for the intake, referral, tracking and response coordination of consumer complaints received via phone. Consumer complaint process is state regulated and subject to market conduct exam making it a critical and visible function. (The represents about 35% of the job.) Duties of this function include:
• Serves as first point of contact for calls from Chubb policyholders who are dissatisfied with one or more Chubb products/services.
• Works to identify and obtain information on underlying issue of complaint by listening to and questioning policyholders; records complaint details in online tracking system.
• Forwards complaint information to designated contacts within the Chubb organization for response; follows-up with internal contacts within specified time frames to ensure timely response/acknowledgement to policyholder.
• Prepares summary reports of complaint activity/trends for Chubb senior management.


Another primarily function of the Agency Services Coordinator is to coordinate the background investigations on agents; review background results and identifies/refers “red flags” to appropriate management. Updates and maintains various internal systems and files with agent data. Serve as the Point of contact for Producer Express system issues. (These tasks represent about 40% of the job.)

The Agency Services Coordinator will also be responsible for updates to the department website. (10%)

This position provides general administrative support for the department as needed; may include opening and sorting of mail, scanning, forwarding documents, managing the department emailbox. (15%)

Competencies/Tech Skills:
• Must demonstrate advanced organization skills, the ability to multitask and be able to successfully handle detailed oriented work.
• Strong oral and written communication skills; demonstrated ability to follow-up on outstanding issues.
• Ability to handle difficult phone calls with patience and professionalism; must demonstrate advanced listening skills.
• Working knowledge of Chubb services and processes required (i.e., policy issuance, claims handling, producer interaction, etc.).
• Intermediate to advanced knowledge of Microsoft Office, including Word, Excel, Access and PowerPoint; ability to learn and use other systems as required.


Education:
• High School Diploma required. Bachelor's degree preferred.
