HR Sr. Administrative Assistant - Degree Preferred - 10+ yrs Exp

Currently, Chubb is seeking a Senior Administrative Assistant for the Warren, NJ office.
MAJOR DUTIES AND RESPONSIBILITIES:
The individual in this position provides executive level support directly to the executive vice president of HR. Duties and responsibilities include
• Preparation, proofreading, creation of letters, memos, charts, agendas, and PowerPoint presentations.
• Heavy communication, both telephone and email both within and outside of Chubb.
• Review and screening of incoming mail, handling of special projects as required; scheduling and maintaining calendar; arrangement of world-wide travel, including branch visits, airfare, hotel accommodations, etc.; organizing meetings and CEO lunches; coordinating conference calls; processing expenses, T&E approvals and invoice payment requests.
• Provide oversight of administrative assistants supporting HR senior team.
• Maintaining and creation of files and suspense system.
REQUIRED SKILLS AND EXPERIENCE:
• Minimum of ten years of administrative support experience.
• College degree preferred.
• Excellent communication skills. Ability to interact with high level executives, staff, and non-Chubb business associates in a professional, friendly, courteous manner.
• Excellent computer skills and knowledge of the Microsoft Suite.
• Excellent time management skills. Must be able to prioritize.
• Must be able to research inquiries and provide accurate and timely responses, both verbally and in written format.
• Ability to maintain a positive attitude under pressure.
• Excellent organizational skills, strong attention to detail, and the ability to manage multiple tasks simultaneously required.
• Proficiency in Lotus Notes, Excel and PowerPoint.
• Proven ability to work independently, must demonstrate a high level of initiative and ability to plan and organize complex requests.
• Ability to exercise discretion and confidentiality.
• Analytical skills preferred
• Project Management Skills preferred
