We have an exciting career opportunity for an Administrative Assistant position in our New York Office, supporting Financial Services Group (FSG).

POSITION DESCRIPTION:
Perform administrative duties for a senior National Product Leader and brokerage team, as well as a senior Global Practice Leader.

PRIMARY DUTIES:

Process
Maintains Renewal Register
Keeps exact listing of account names and renewal dates provided to brokerage team on a quarterly basis
Updates list to include new accounts, lost accounts and amended renewal dates
Reconciles against Bridge on a monthly basis
Performs research tasks in advance of renewal or Request for Proposal (RFP)
Locates and prints applicable public information, specifically annual report and 10-K
Prepares Peer Group Analysis Reports
Creates "shell" renewal strategy presentation or RFP to include pictorials, spreadsheets and charts
Prepares Meeting Agendas and final presentations in advance of renewal and RFP meetings
Organizes renewal information for review by Brokerage Team
Assists in the creation and distribution of submission documentation to Insurance Market
Monitors e-mail for receipt of quotations from Insurance Market
Prepares "shell" renewal proposal to include comparison charts and Aon Compliance documentation
Inputs all quotations and declinations into GRIP immediately following transmittal of renewal proposal
Updates and closes out GRIP entry upon receipt of bind order
Generates and distributes QDR directly to client
Initiates invoice processing and distributes invoice documentation to client within one week of the binding date
Maintains and updates accurate listing of outstanding invoice and policy documentation
Maintains new business list to include prospective accounts and anticipated revenue
Collects local and regional KRE data to include in monthly reports for distribution to London KRE Management Team

General
Communicates in person and through correspondence with high level contacts inside and outside the company such as vendors, customers, and senior leadership
Coordinates travel arrangements for staff, utilizing the in house travel agency
Prepares expense reports/reimbursement requests for staff
Schedules meetings and appointments for staff, including coordinating and confirming attendance, arrangement of meeting location, equipment, supplies and hospitality as needed
Maintains and manages staff calendars
Reads and routes incoming mail. Locates and attaches applicable file information or previous correspondence to facilitate prompt resolution. Prepares outgoing mail
Using knowledge of the department's procedures, prepare routine correspondence, documentation, forms, notices, or statistical reports
Maintains manuals, policy and procedure files, etc., in applicable format
Assists in research, testing, and/or implementation of revised policies and procedures
Reconciles/coordinates reports with other departments as needed
Files correspondences and other records
Makes copies of correspondence and other printed matter
Ensures adequate office supplies
Processes purchase requests for additional office supplies as needed
Provides direction to other administrative employees

REQUIRED SKILLS AND EXPERIENCE:
Possess 3 years of administrative assistant experience in Insurance Brokerage or Underwriting.
Knowledge of general office administration.
Excellent organization skills, strong attention to detail and the ability to multi-task.
Ability to communicate effectively with others (written and oral). Advanced PC skills (Word, Excel, PowerPoint and Outlook) required.
The position calls for exceptional computer, verbal and written skills.
Candidate must have a High School Diploma.
Candidate must be flexible to begin work at 8:30 AM and flexible to work additional overtime hours, as needed.
