Administrative Assistant – Strong Technical Skills/2+ yrs Admin Exp

Currently, Chubb is seeking an Administrative Assistant to join our New Haven, CT branch. This position provides Administrative and Marketing support to the New Haven Branch Manager.
Duties and responsibilities include, but are not limited to, the following:
• Process new agency appointments, agency terminations, and updates to agency appointments
• Manage all agency contracts, addenda, contract updates
• Facilitate and follow up on agency licensing in collaboration with Agency Services Department
• Keep New Haven branch and supporting service branches updated as to agency changes, including keeping WebPro and other databases updated
• Provide monthly and/or quarterly updates and scorecards with financial metrics to Branch Manager and other branch employees
• Assist with the processing of GSC and other agency incentives including quarterly and/or monthly updates with financial metrics to Branch Manager, branch sales teams, and other branch employees
• Assist with agency reviews and individual agency planning and/or review sessions
• Maintain and distribute weekly open submission and prospect reports
• Prepare memos and other correspondence
• Manage expenses for Branch Manager including T&E approvals
• Assist Branch Manager with any other requested reports, communications, expense processing, calendar management
• Manage and coordinate various branch and/or agency events and special events including Chubb Charity Challenge, Pilot Pen Tennis tournament, sponsorships, annual agency Newport event, agency visits, branch and home office visits
• Manage continuing education course offerings and distribution of CE certificates to attendees
• Coordinate branch meetings including logistics, presentations, refreshments
The qualified candidate will have the following skills and proven work experience:
• Minimum of two years of administrative support experience
• Strong decision making ability
• Strong verbal and written communication skills
• Ability to interact with high level executives, staff, and non-Chubb business associates in a professional, friendly, courteous manner
• Proficient typing skills and knowledge of Lotus Notes and Microsoft Office Suite including Word, Excel, PowerPoint, and Access
• Superior organizational skills. Must be able to prioritize and manage multiple tasks simultaneously
• Must be able to research inquiries and provide accurate and timely responses, both verbally and in written format
• Ability to maintain a positive attitude under pressure
• Proven ability to work independently, must demonstrate a high level of initiative and ability to plan and organize complex requests
• Ability to exercise discretion and confidentiality
• Bachelor’s degree preferred
